  1. Can I add a magic5 Pack to an existing magic5 Professional system?
    Yes.  magic5 Packs can be added at any time to increase functionality.  However, removing them might make some data no longer accessible – contact us to discuss implications if you think this might affect you.
  2. Can I store documents in magic5 Professional?
    Yes.  magic5 Document Library allows you to store documents, images and videos centrally on the server and automatically distribute them to mobile device users.  This is particularly useful for keeping manuals, SOPs, RAMS, company policies, training documents and product guides up to date.
  3. Can I attach documents to magic5 Professional forms?
    Yes.  In addition to the Document Library option (see above), documents such as bulletins, alerts, training documents and certificates can be sent to device users. Forms can be set up so that users have to sign their acknowledgement that they have read the document.
  4. Can I export data in an attractive and readable format to send straight to my customers?
    Yes.  magic5 Professional produces an online report that can be sent to customers either automatically or following office authorisation. These can be PDFs, Excel spreadsheets or Word documents.
  5. Including my own logo and contact details on the output file?
    Yes.
  6. Can you create a PDF template for me?
    Yes we can.  In fact, if you wish to use a PDF template that is not included in the current list you will need to ask us to create one for you.  This will incur additional costs.
  7. What about other output formats?  Can you create them for me?
    Yes.  Depending on the complexity of formats such as spreadsheets or Word documents, we can either talk you through doing it yourself (which would probably come under support) or we can create one for you (which would probably incur extra costs).
  8. Can magic5 send me notifications about a job’s progress?
    Yes.  Email notifications can be automatically triggered by a number of situations such as when a form is sent back from a mobile device or is ready for sign-off.
  9. Can magic5 send other people notifications about a job’s progress?
    Yes.  Email notifications can be automatically sent to a number of specified recipients.  These might be explicitly stated (eg johnsmith@acustomer.com) or refer to a relationship to the job or form being completed (eg all location contacts or email address entered on form).  See FAQs on emails for more details
  10. Can magic5 do other things automatically?
    Yes.  Automatic actions triggered by form or job status include exports, emails, creating new or supplementary jobs or forms, updating data items, creating summary documents and printouts.
  11. Will magic5 trigger these actions every time for every job?
    Not necessarily.  Many parts of magic5 can be set up conditionally, including most actions.  These conditions are very powerful and may be based on data collected or on static information, such as for a customer.
  12. What other parts of magic5 can be controlled conditionally?
    Within each form, items can be conditionally shown or hidden depending on the response to other questions. Any automated actions can also be triggered depending on the answer to a question.
  13. Can additional forms be completed depending on the nature of a job?
    Yes.  Rules can be created to automatically generate follow-up or additional forms depending on answers to questions. Or buttons can be added to a form allowing the user to choose additional forms.
  14. Does the device user have to contact head office to have a new job created?
    No.  Forms can either be completed in response to a job sent from the office, or they can be completed adhoc when required.
  15. Does magic5 Professional utilise links with social media?
    No.  Most of the data collected with magic5 may be of a sensitive nature and it would not be appropriate to create links with social media.
  16. How many lists can I have with magic5?
    There is no limit to the number of lists you can have.
  17. Can I link my lists?
    Yes.  magic5 Professional uses Cascading Lists which means that an item selected in one list can populate another (which can fill another and so on).   This makes it easy to search for a product (for instance).
  18. Does all of the data collected appear on my report?
    Not if you don’t want it to.  Sections of the form can be suppressed from the report.  Alternatively, create a summary report.
  19. What is a summary form?
    A summary form collects specific data from a number of source forms.  A example of a summary report would be a weekly timesheet created from a week’s worth of daily jobsheets.
  20. Do I have to show all of my report information on the mobile device?
    Not if you don’t want to.  We understand that disclaimers or other standard text for a report clutters up a mobile device screen so areas can be set up to only appear on the report and web site.  Hence within a form there may well be items that are only shown to office users or items that are only seen on the mobile device.
