What types of forms can magic5 Personal Edition give me ?
magic5 Personal Edition allows you to easily define your own form. Typically this may be a job sheet, a timesheet, an invoice, a stock/part usage form, a proof of delivery form,
an inventory, an inspection, audit or assessment.
You don't need any experience of programming or to be a technical guru, as long as you've used the Internet you'll be fine !
Or, if you want a quick start or some advice, just ask us and we'll get you up and running quickly.
Generally you'll want to use things like tick boxes and drop-down lists where possible. This makes the forms fast and easy to complete.
How does magic5 Personal Edition work ?
You create your PDA form using an account we give you on our web site. Once you're happy with your form, it gets downloaded onto your PDA. Then you're ready to go - just
fill in the form, save it and the completed form will be e-mailed as a Word-compatible document to whoever you like. Fill in the form as often as you need to.
Typically you'll
set the form up to be e-mailed to yourself (or maybe a colleague), but you can also specify any number of additional e-mail addresses each time you complete the form - this
allows you to send the completed form to your clients. If your PDA is also a mobile phone, your e-mails will usually be received within seconds !!
How much does magic5 Personal Edition cost ?
£145 for each user (exclusive of VAT at 17.5%). For this one-off fee you get :
- One PDA form containing as many items as you like (drop-down lists, signatures, tick boxes, text boxes, dates etc)
- Access to the magic5 Personal Edition web site to allow you to customise your form and add in things like customer names and locations and general list entries
- A Word-compatible document template that will be used to e-mail your forms - you can include your own company details, logo etc.
- Help and assistance with setting all of this up
Do I need to bear any other costs in mind ?
You need to have a PDA running Windows Mobile (versions 2003, 5 or 6). If you wish to e-mail your forms over the mobile phone network (or receive changes to your magic5 Personal Edition form or data) then this would be charged as data traffic by your network provider. Companies such as O2 have data packages available which give very large data bundles for less than £10 per month.
What kind of things can't I do with magic5 Personal Edition that I can do with your Hosted or Enterprise Editions ?
- With Personal Edition, completed forms are sent from the PDA as e-mail attachments. With the other editions, forms are sent back to a web site where they are held in a database - the web site and database allow the forms to be viewed over the web by colleagues and clients, the generation of PDF reports, updating of other databases, feeds into other systems, editing of forms, separate administrator release of forms to clients and many other options. Completed forms for all users using the Hosted and Enterprise Editions are held in the same database, so you have a central store of all completed forms - with Personal Edition you have individual e-mails.

The Hosted and Enterprise Editions allow an unlimited number of different form templates to be created whereas Personal Edition is tied to a single template (although additional forms can be purchased separately).

The Hosted and Enterprise Editions allow "job dispatch". This means that the web site can be used to log jobs (calls, tickets etc) containing whatever details you want. These jobs can be allocated to users and will be shown as a "work list" on the user's PDA, giving the user details of where they need to go and what they need to do. Completed jobs are sent back to the web site and update the "outstanding jobs" list.

magic5 Personal Edition does not entitle you to upgrades to new software versions.

magic5 Personal Edition does not include any branding of the PDA software (although the document of the completed form can be branded however you want).
What if I start out using magic5 Personal Edition but then want to expand things using the Hosted or Enterprise Editions ?
It's easy to move from Personal Edition to the other editions. We can move your form and any "server" data across. If you upgrade we'll also protect your investment in magic5 by giving you a refund of 50% of the cost of a single Personal Edition licence.
Can I purchase magic5 Personal Edition online ?
No. If you wish to purchase then please e-mail us. We'll create an account for you, allowing you to create your form (please ask us for any help you need with this). Once you're happy with the form, we'll invoice you. We also encourage people to use our trial system to try out and refine forms.
Do you have any "off-the-shelf" forms that I can use ?
Yes. If you register for our free trial you'll see a set of forms relating to job sheets, proof of delivery etc. You can take one of these forms "as-is" or use it as a basis for your own form.
Do you supply or recommend PDAs ?
We don't supply PDAs as there is no way we can give you a cheaper deal than people like the network operators O2, Orange, Vodafone etc. These companies offer Windows Mobile PDAs along with their phone contracts and that is usually the best way to acquire a PDA (especially if you're interested in e-mailing completed forms over the mobile phone network and hence need a data package anyway). If you need something more rugged than one of those PDAs then you might want to look at Motorola (who now own Symbol), Psion and, as a halfway house, Otterbox.
